HR & Admin

Job Purpose

To oversee and manage store operations, logistics coordination, machinery and asset tracking, hostel administration, and administrative support functions to ensure efficient operational support for the company.

Key Responsibilities

Store & Inventory Management

  • To manage the overall store operations, including receiving, storing, issuing, and tracking of stock.
  • To ensure all stock is properly stored in an organised, safe, and clean manner in compliance with company SOP and safety standards.
  • To perform periodic (monthly/quarterly) stock counts and ensure accuracy of inventory records.
  • To inspect incoming goods for discrepancies or damages and report to Procurement Department.
  • To ensure proper documentation (GRN, DO, etc.) is prepared, signed, and maintained.

Stock Orders & Procurement Coordination

  • To compile monthly stock orders from the Operations Team into a consolidated Stock Master List.
  • To submit compiled stock orders to Procurement Department for Purchase Order (PO) issuance to suppliers.
  • To follow up on delivery timelines and ensure timely receipt of goods.

Packing, Delivery & Documentation

  • To prepare Delivery Orders (DO) and ensure proper documentation for all outgoing goods.
  • To pack goods accurately according to site requirements and ensure correct items are delivered.
  • To coordinate and ensure proper loading and unloading of goods.

Delivery & Fleet Coordination

  • To manage store vehicles assigned for delivery operations.
  • To plan and coordinate delivery schedules with drivers to ensure timely and efficient delivery to sites/clients.
  • To ensure proper utilisation and basic upkeep monitoring of store vehicles.

Machinery & Asset Management

  • To maintain proper tracking of machinery assets including issuance, movement, and return.
  • To monitor machinery condition and coordinate repairs when required.
  • To track delivery and deployment of machinery to operational sites.
  • To maintain updated records of machinery loans, pool equipment, and repair status.

Hostel Administration & Management

  • To manage and coordinate matters relating to company hostels or accommodation provided for employees.
  • To prepare, maintain, and manage tenancy agreements and related documentation with landlords or property management.
  • To coordinate and manage relevant governmental applications, registrations, or compliance matters relating to employee accommodation as required by authorities.
  • To compile and monitor monthly hostel utility bills (electricity, water, internet and other utilities) and submit the reports to the relevant department for verification and payment.
  • To ensure hostels are properly maintained, including arranging repairs, maintenance, and upkeep of facilities when required.
  • To coordinate hostel occupancy records, allocation of rooms, and updates relating to employees staying at company accommodation.
  • To liaise with landlords, building management, vendors, and relevant internal departments regarding hostel matters.
  • To ensure hostel premises are maintained in a safe, clean, and orderly condition.
  • To perform any other duties related to hostel management or employee accommodation as assigned by Management.

Administrative & Payroll Support

  • To assist in the preparation and updating of attendance Excel sheets.
  • To support HR/Finance in generating payroll-related reports and documentation.
  • To ensure accuracy and timely submission of attendance and payroll data.

General Operations Support

  • To liaise with internal departments (Operations, Procurement, Finance, HR) and external vendors where required.
  • To assist in preparing operational and administrative reports.
  • To perform delivery duties when required by Management.

Ad-hoc Duties

  • To perform any other duties as assigned by Management from time to time.
  • Perform any other duties like driving for delivery as assigned by the management or supervisors.
  • Any other ad-hoc assignments from time to time as assigned by Management.

Requirements

Qualification:

  • Diploma / Degree in Business Administration, Logistics, Supply Chain or related field

Experience:

  • Minimum 3–5 years in store management, logistics coordination, or administrative operations

Knowledge & Skills:

  • Strong organisational and coordination skills
  • Good knowledge of inventory and logistics processes
  • Proficient in Microsoft Excel (especially for attendance & reporting)
  • Good communication and problem-solving skills
  • Ability to manage multiple operational tasks simultaneously
